How We Plan Your Corporate Event
From the first planning conversation to the final cleanup, our team manages every detail so you can focus on your guests and your message.
Step 1: Identify Event Goals
Work with Have Party Will Travel’s event specialists to define your event purpose—whether it’s a networking reception, training seminar, holiday celebration, or company milestone. Together, we’ll discuss how to incorporate your company branding, optimize your space, and create an experience that reflects your event message and wows your guests.
Step 2: Estimate Attendance
Provide your expected attendance numbers and venue information. This allows us to recommend optimal catering quantities, seating configurations, and any additional equipment needed to maximize your space and ensure guest comfort throughout the event.
Step 3: Choose Food and Beverage Options
Select from our gourmet menu options featuring fresh, in-house grown herbs and vegetables from our Gardyn vertical garden systems. Whether you need light refreshments for a breakfast meeting, elegant hors d’oeuvres for a cocktail reception, or a full plated dinner for an awards banquet, we’ll customize options to match your event tone, schedule, and budget. Schedule a tasting to experience our world-class food firsthand. Insured, state-certified bartenders are available for beverage service.
Step 4: Select Equipment and Rentals
Work with our team to select tables, chairs, linens, staging, and any specialty equipment your event requires. We can also coordinate personalized décor packages, including floral arrangements, themed accessories, signage, and surprising elements that align with your company’s image and create a memorable atmosphere for your guests.
Step 5: Finalize Logistics and Setup
Our professional team handles all logistics—from delivery and setup to full-service staffing and breakdown. We coordinate timing to minimize disruption to your business operations and ensure every detail runs smoothly. You and your guests can focus on networking and enjoying the event while our event specialists manage everything behind the scenes, making your corporate event truly stress-free.
Step 6: Post-Event Support
Following your event, we’re available to collect feedback and discuss any follow-up needs for future corporate gatherings. Many clients work with us repeatedly for their annual events, seasonal celebrations, and ongoing meeting catering needs.
FAQ About Corporate Events
What types of corporate events can you help us plan?
We plan and cater all kinds of corporate events, including fundraisers, award and scholarship banquets, stunning galas, holiday parties, grand openings, breakfast meetings, corporate luncheons, cocktail receptions, company picnics, golf tournaments, casino nights, and more. Each event is customized to fit your brand, message, and budget, creating a seamless and memorable experience for your guests.
What is included in your corporate event planning services?
Our full-service planning covers all aspects of your corporate event. We handle menu planning and customization, venue layout, vendor coordination, staffing, rentals and logistics, décor packages, and complete setup to cleanup. Our team ensures the event runs smoothly from start to finish, so you can focus on your guests and company objectives.
Do you provide staff and service for large events?
Absolutely. We provide trained servers, event coordinators, and insured state-certified bartenders (when accompanying a catering contract) to manage setup, food service, and cleanup. No matter the size of your event, our team ensures smooth operations and attentive service so your guests enjoy a professional, memorable experience.
How do you incorporate our company branding into the event?
We integrate your company's branding throughout the event experience, from décor and menus to signage and table settings. This includes custom linens, branded cocktail stations, award displays, specialty floral arrangements, ice sculptures, and themed elements that make your corporate event uniquely yours while impressing your guests.
How far in advance should we book you for a corporate catering?
Ideally, book us 4–8 weeks before your event. For larger gatherings—galas, holiday parties, or multi-day conferences—3–6 months is a safer window, especially during Utah’s peak seasons. Early booking secures your date, expands menu options, and allows time for tastings; last-minute requests may be possible, but choices are limited.
How do you handle dietary restrictions for a large group?
Send us a list of dietary needs before the event, and we will build your menu around them. We regularly accommodate:
- Gluten-free
- Vegetarian and vegan
- Nut and common food allergies
- Halal and other religious dietary requirements.
The USDA recommends that caterers receive guest allergy information before the event to prevent cross-contamination. Our team follows strict food handling protocols to keep every guest safe.
Do you provide bar service for corporate events?
Yes. Have Party Will Travel offers licensed bar service for corporate events, including beer, wine, and cocktail options. Non-alcoholic beverage service is also available. Bar service can be added to any corporate catering package. If your event is formal, we can provide professional bartenders trained for corporate settings. Let your event planner know your bar requirements during the initial planning conversation.
What food service styles work best for corporate events?
The best service style depends on your event format and how long guests have to eat.
- Buffet — Works well for team lunches and casual gatherings. Guests serve themselves and move at their own pace.
- Plated dinner — Best for formal client dinners, award nights, and galas where a structured dining experience is expected.
- Stations — Great for networking events. Guests move between food stations and graze throughout the event.
- Boxed or drop-off meals — A practical option for working lunches and training sessions.
We can recommend the right format based on your schedule, venue, and guest count.
Everything was wonderful, and the guests were really impressed with the food! All of your staff was friendly and helpful, and I don’t think that we ever ran out of anything on the buffet. People told me how much they liked everything; I actually got very specific compliments from two retired caterers who were among the guests. Even the spaghetti was a hit – many of the younger guests just wanted some spaghetti and garlic bread, but they really appreciated being able to eat from the main buffet and not having a separate “kids food” area. The lemonade was really good, and the wine service was well done. Thank you all for doing such a marvelous job, and for being so easy to work with as we went through the ordering and ‘planning’ process.
Sincerely, David
